Academic records
Gather the records relevant to your application, such as school results or degree records. Check which years, certificates and result formats are actually requested.
THE CAMPUS MANTRA JOURNAL
A well-organised document folder reduces avoidable confusion during applications and reporting. Use this guide as a preparation method, then follow the exact list and formats issued by your institution or counselling authority.
START WITH WHAT MATTERS
There is no single document checklist that fits every course, institution and applicant. Requirements can differ by admission route, qualification, category and stage of the process.
Gather the records relevant to your application, such as school results or degree records. Check which years, certificates and result formats are actually requested.
Review the accepted identity evidence and any applicable category, domicile or other eligibility documents. Do not assume one authority accepts another authority’s format.
Keep submitted forms, application numbers, results where relevant and payment acknowledgements together so you can connect each document to the correct application.
01 / PRACTICAL GUIDE
Create a separate folder for each admission process, with subfolders for instructions, submitted files, acknowledgements and reporting records. Use clear filenames that describe the document and version without putting unnecessary personal identifiers in the filename.
Keep originals safely and maintain readable digital copies. Check all pages, both sides where relevant, and any stamps or signatures that must be visible. An image that looks readable on a phone may become difficult to inspect after compression.
Make a tracking list with the document name, whether it is available, any requested format and the action still needed. This turns a vague worry about missing paperwork into a manageable set of tasks.
02 / PRACTICAL GUIDE
Compare names, dates and other relevant details across your records and application. If you find a discrepancy, follow the authority’s correction or clarification process. Do not alter an official document to make the information appear consistent.
Read the upload requirements for file type, size, page order and image quality. Check the preview after uploading and confirm that the correct document is attached to the correct field. Save the acknowledgement after submission.
Some applicants may need programme-specific records, such as graduation documents, internship evidence or professional registration. Others may need particular category or eligibility certificates. Treat these as conditional requirements to verify, not documents every applicant must produce.
03 / PRACTICAL GUIDE
An application upload does not necessarily finish verification. Once an offer or allotment is issued, read the current reporting instructions for originals, copies, payment evidence and any additional forms. Check whether attendance is online, in person or follows multiple stages.
Plan practical arrangements before travelling: office location, reporting window and how your originals will be checked. Keep a list of documents you take, and obtain an acknowledgement if an institution retains something under its stated process.
Share personal documents only through the required official channel or with someone you have deliberately authorised for a specific purpose. Never share passwords or OTPs. Campus Mantra can help you understand a checklist, while the institution or counselling authority decides whether your submitted evidence meets its requirements.
04 / PRACTICAL GUIDE
Create a tracker with one line per requested document. The examples below are preparation categories, not a universal admission checklist. Copy the final requirements from the official notice for your course, category and reporting stage.
| Record group | Examples to check if required | Track separately |
|---|---|---|
| Academic | School mark sheets, degree records and completion certificates | Correct name, all requested years and issuing authority |
| Entrance/application | Scorecard, submitted application, allotment or offer | Application number, intake and latest version |
| Eligibility/category | Identity, domicile or applicable category evidence | Prescribed format, validity and matching details |
| Programme-specific | Internship completion or professional registration where applicable | Exact course/authority requirement |
| Payment/reporting | Receipts, acknowledgements and joining instructions | Upload, original verification and physical reporting stages |
For each row, record: available or requested; next action; responsible person; official deadline; upload format; original needed; verification complete. “Requested from school—follow up on Friday” is more actionable than an empty checkbox.
05 / PRACTICAL GUIDE
Open every scan and check that all required pages, edges, stamps and signatures are visible. Confirm that the details can be read at normal viewing size. Follow the portal’s format, size and naming instructions; do not assume settings accepted by one application work for another.
Avoid making edits that alter the meaning of an official record. Where a name or date is inconsistent, ask the issuing or receiving authority about the accepted correction or supporting evidence. Keep the original file and any authorised correction separately. A clear scan cannot resolve an underlying document discrepancy.
06 / PRACTICAL GUIDE
Use an email address and phone number you can access throughout the admission process. Keep login information private and review the details yourself before final submission. If someone helps organise the application, agree which tasks they are handling and which decisions remain yours.
Save the final submitted form, acknowledgement and any subsequent query. Record the action needed and deadline stated in the official notice. Avoid sending identity or academic files to an unverified contact simply because they claim to represent a college. Confirm the receiving channel through the institution’s published contact information.
07 / PRACTICAL GUIDE
Arrange originals, required copies and applicable forms in the order of the official checklist. Keep an index so you can locate each item quickly. Check travel and reporting arrangements early, including whether a particular office, verification stage or appointment is specified.
After verification, retain the acknowledgement of documents received and the admission or joining confirmation. Note any outstanding item and the instructions for providing it. If the institution retains an original document, ask for a receipt identifying it and the return procedure. Update your tracker so the final record reflects what was actually completed.
COMMON QUESTIONS
No. It is an organisation guide. Your institution or counselling authority’s current checklist determines the final documents, formats and reporting process.
Contact the issuing body and the admissions authority through official channels. Ask about the correct remedy; do not assume a substitute or undertaking will be accepted.
Use the latest official notice for your programme and admission year. Requirements and institutional information can change.
